Summary

Email is an effective way to communicate detailed messages

 

Emails can:

1. Be saved, and read again by recipients

2. Help you communicate effectively with your parents & guardians, and staff too.

 

How to Create an Email Message in SchoolMessenger Communicate

From Name:

The "From Name" will be your name by default, as it pulls from Account (upper right) in Communicate. 

Replace if you don't want recipients to think the email is from you. 

 

From Email:

The "From Email" defaults to your email address in Account (upper right). You can change this as well. However, remember that you must use your school's email domain (e.g. @MySchool.org). 

 

The information to the left of the @ symbol may be anything, and does not have to be a real address.  

 

Be careful with "NoReply", as many emails have spam filters which may filter "NoReply@" out, resulting in your recipient not receiving the email. Adding 3 or 4 letters after "NoReply" will spoof spam filters.

 

Example: "noreplyptu@schoolmessenger.com".

 

The arrow down can have email addresses to select from if your System Admin over SchoolMessenger had Support set up alternate emails.

 

Reply To Email:

"Reply To Email" is useful if you wish to have replies go to a different address than the "From Email".  Emails in the "Reply To Email" section do not have to be the school's domain (e.g. @MySchool.org). A "Reply To Email" can be helpful if you chose to use a fake email address in the "From Email" field. 
 

Subject:

Every email should have a subject. The subject helps your recipient know the purpose of the email. Your subject will automatically be filled in using the Subject you chose in step 1. 

 

You can change the Subject. Create a compelling Subject to entice recipients to read the email. 

 

Body:

Email is written here. Remember to use options to help your email include important information. 

 

Examples: 

 

  • Field Insert can insert date tags (Current Date, Tomorrow Date, Yesterday Date)
  • Paste from Word allows content written in Word to keep formatting you created when crafting the message
  • Link places URL in your email

Translate:

If Support has set up languages then your email can be translated.
 

Preview:

You can preview your email and make sure it is correct by testing links you've included, etc., and visually inspecting how it will appear to recipients.
 

Save:

After creating your email content and you like how it looks, click the green Save button. You'll be taken back to the Message Content page, and Email will be green. 
 

Delete:

If you decide you don't want to use your email content, select Delete. Content is removed. Be sure you want to remove content as it cannot be retrieved after it is deleted.
