Custom, Conditional Grade Reports

Hey All,

Thanks for all the help this forum has given me thus far. I have recently moved from a Teacher role to an IT Administrator role for PowerSchool. I am seeking to do a very specific set of actions and have been unsuccessful after many hours of exploring:

Direct Database Export

Custom Student Lists

Quick Student Export

Data Export Manager

 

Needs:

1. Exploring Current Grade information

I found tables regarding StoredGrades, but have no idea how I might be able to access and export current grade information? A table with student ID's, courses and grades would be awesome.

2. Exporting Current Grades that are C- or worse. I'd like any sort of list. Perhaps a student ID and course ID for any cases in which a student's grade is below a certain threshold.

3. Creating student reports for each instance of a C- or worse. We have a good template for teachers to send reports based on students who meet the above criteria, and I'd like to find a way to automate this system. For example, if I have a list of students and any courses they are receiving a C- or below, can I upload that list and generate x number of reports based on a specific set of specifications? Cheers,

This might be what you're looking for:

PSCB Dev Reports > Grading > Class - Grades Search

The report filters allow you to search by Grade Reporting Term, Attendance Reporting Term, etc. 

 

I run this list weekly to search for kids with D, D-, F grades.

The quick and easy way I solved a bit of what you are looking for is by using the People > Students >Search by Attendance and Grades option.

See Attached.

For current grades (provided my teachers are up to date with entering grades) - 

1. Have the selection of students you want even if that's all of them. 

2. Make sure you are in the right term. We run reports for year/semester but for current grades, you want to make sure your current year/semester is noted.

2.5 If you are looking for students with multiple Cs, you can input the number into Minimum # of classes needed to meet search criteria. Looking for a student with 3 or more Cs currently, put 3. Looking for a student that is currently failing a class, you put NC or F - whatever your school uses to identify a non passing grade.

3. When scanning multiple Grades/Attendance types. Results should be *select Combined (OR)

4. If you are looking for letter grades- select Scan for this final grade (comma separated) and make sure the box has Any = selected. In your grade box, you can put any letter grades you want or C+,C,C- [side note, I believe you do not put spaces in between, not 100% as my school doesn't use + or - distinctions.

5. Alternately, if you are looking for student below a certain numerical value, select Scan for this final grade percentage. It doesn't matter if grades are not final yet. Make use of the < sign, but be aware if there are no grades yet in the system for a student in one or more classes, that class will pull as a 0. 

6. If you are not concerned with attendance, skip down to Scan for grades in and choose Current grades from the drop down box. Store code/final grade: [here you put in any store code like Q4, S2, Y1]

7. Scan for all classes enrolled IMPORTANT if you are looking for anyone that CURRENTLY has the grade(s) you are looking for or if they have ever had that grade. 

If I am looking for anyone that currently has an NC in a class, I select as of this date [today's date]

If I am looking for a student with several NCs as a final/current grade throughout the year, I change the Term to Y1 and then run the search to select anytime during the current term.

8. For results, you can choose make this the current selection of students and when you hit submit, it will make those students your current selection where you can go through their quick lookup and whatnot.

OR you can select Display matching students and sections.

- the next screen will not show you the grade/percentage, but it will show you the names of the students, the course name, section, teacher, etc...

- A student can be listed more than once if they have the grade you are looking for in multiple classes.

 

I have attached a screenshot of what my search setup looks like when I pull the list of students with at least one NC at the time of the search.
