Photographer Data Exporting

Photographer Data Exporting

I am a team lead at Harvey Studios, part of what I do is monitor data imports from my team to ensure everything is being handled correctly.

This year we have been having trouble with a lot of schools not having access to parts of PowerSchool and being unable to export the student names and other data for us to use in our system. Now today I had a school in Nova Scotia tell me that there is a new export tool in PowerSchool that they could not access until contacting PowerSchool support, and it does not allow homeroom names to be exported?

Has anybody else encountered this issue? I have had other schools export data just fine, but if there is a new tool being pushed that is going to cause issues like this I want to get ahead of it and find solutions.

I am not certain how familiar you are with PS, but in order to use Quick Export, users need a security role for Data Export Manager (Data Export Manager may be the "new" tool they are referring to, but it has also been around forever, it's just usually only used by more advanced users). Some PS updates make changes to security settings, so the end-users may not know these things.

These sound like rights/permissions issues, not issues with PowerSchool itself. I work with a team that supports over 70 districts and the information for school photos should be easily exportable via Quick Export, which has been part of PowerSchool forever. Names, student numbers, room numbers of classes on a student's schedule--all available via Quick Export.

That's what I have understood for the last few years as well. Data was always exported using the Quick Export option and selecting the table and columns to export.

Nobody else has brought up this "New Export Tool" is that the admin assistant was talking about, the only reason I even give it any merit is that I know that they have used the Quick Export before, so I find it very strange they would not continue to use that. That coupled with a lot of admins complaining they no longer had access to export the data and had to contact PowerSchool for support.

Ahhhh, good to know. I have never really been able to get much information on PowerSchool as the schools are tight lipped about it for the most part, or don't understand how to use it themselves. What little I know has been gleaned from the occasional support docs I have found or been supplied with.

I will keep that security role in mind, based on your description its likely that something logged a lot of people out of whatever account has that role and now they do not know how to log back into it.
