The job override function in SmartFind Express allows administrators or operators to create an absence as entered when system conditions would otherwise prevent it. Overrides may be required when substitute rules, availability, balances, or limits are not met, giving districts flexibility while maintaining system control. 

 

Managing absences can be complex when system rules and real‑world staffing needs do not perfectly align. In SmartFind Express, the job override function helps districts move forward when an absence cannot be created as entered. Understanding when and why overrides occur helps administrators and operators make informed decisions while staying aligned with district policies. 

 

What is the job override function in SmartFind Express?  

The job override function allows an administrator or operator to create an absence as entered when SmartFind Express determines that system conditions are not met. This function ensures that absences can still be created even when validations would normally block the job.  

The override option appears when the system identifies that an override is required, prompting the user to select Override or Yes to proceed or correct the absence information. 

 

Who can use the job override function? 

The job override function is always available to operators. Administrators can also use this function when the Allow Job Overrides option is enabled on their profile. 

This distinction allows districts to control override access based on role while ensuring operational continuity when absences need to be created. 

 

When is a job override required?  

A job override is required when SmartFind Express determines that system conditions prevent an absence from being created as entered. These conditions are tied to substitute rules, availability, limits, and balances. 

Common scenarios include situations related to substitute assignment, job creation rules, and absence limits configured at the location level. 

 

What are common reasons a job may require an override? 

SmartFind Express provides clear reasons when an override is needed, including: 

  • The job will be created as No Substitute Required when in‑house filling capacity is not met, minimum job days are not met, or substitute allocation units are exceeded. 
  • The job will be created as Auto Assigned when an automatic substitute is available. 
  • The specified substitute cannot be assigned due to profile, availability, registration, or validation settings. 
  • The job will not be created due to max absences when the location’s daily absence limit is exceeded. 
  • The job will not be created due to reason balances when the employee’s reason balance is zero.
