How to Use the Copy Setups Utility for Next Year Scheduling in eSchoolPlus SIS

The Copy Setups Utility in eSchoolPlus SIS helps administrators prepare for next year scheduling by copying key registration, scheduling, and mark reporting setups into the new school year. Before running it, confirm that buildings are not changing cycle days, grading structures, or master schedule plans to ensure accurate results.

Reuse what works with the eSchoolPlus Copy Setups Utility

Preparing for next year scheduling doesn’t have to mean starting from scratch. For schools keeping their overall structure the same, the Copy Setups Utility in eSchoolPlus SIS can save significant time by carrying forward critical configuration data. Taking a few moments to review building plans first helps ensure a smooth and successful setup process.

What should admins confirm before using the Copy Setups Utility

Before running the Copy Setups option, administrators should check in with each building to confirm how the next school year will operate. If major structural changes are planned, the Copy Setups Utility may not be the right approach.

Key questions to ask include:

  • Will the building change cycle days, such as moving from a Monday–Friday schedule to an A/B cycle?
  • Will the grading structure change, such as moving from quarters to trimesters?
  • Does the building want to copy the current-year master schedule forward?

If the answer to the first two questions is ‘yes,’ administrators should use the Building Checklist and contact PowerSchool for consulting assistance instead of using Copy Setups. If the master schedule should not be copied, Copy Setups can still be used to move other configurations forward.

Which setups are copied for next year scheduling?

The Copy Setups Utility allows administrators to copy a wide range of school-year-specific configurations that support scheduling and grading.

Registration setups include:

  • Configuration
  • Tracks
  • Cycles
  • Durations
  • Marking period weeks

GeoCode plan areas and activities can also be copied, though they do not directly affect scheduling.

Scheduling setups include:

  • Configuration
  • Intervals and timetables
  • Scheduling periods
  • Scheduling parameters

Mark Reporting setups include:

  • Average setups
  • Credit assignment
  • IPR and report card views
  • Competency grading scales and groups
  • Competency teacher assignments
  • State courses
  • Course equivalency setup and course equivalency

Which setup areas are not school-year specific?

Some setup options apply across multiple school years, so changes should be made with care. Updates in these areas can impact current, historical, and future years.

Scheduling items not tied to a school year:

  • Course Catalog: New courses may be added for next year, but changes to subject areas will affect current courses as well.
  • Course Groups: Changes to course group membership affect both current and future processing.
  • Course Sequences: Updates impact prerequisite and sequencing rules across years.

Mark Reporting items not tied to a school year:

  • Mark Types: Existing mark types should not be changed, but new ones may be added for the next school year.
  • Level Tables: Changes affect current, historical, and future school years.

When is Copy Setups the right choice?

If a building will continue operating the same way next year, with no changes to schedules, cycles, or grading structures, the Copy Setups Utility is a reliable and efficient option for preparing the next year environment.
