Back to School Success with Enrollment 

This checklist helps school districts prepare, test, and launch PowerSchool Enrollment forms for a successful back‑to‑school enrollment season. It is organized by the project phase and aligned to the PowerSchool Enrollment Form Launch process. 

 

Phase 1: Getting Ready (Pre‑Planning) 

Confirm project access 

  • Access your Enrollment project in CollabHub (TaskRay) 
  • Review assigned tasks, due dates, and overall project timeline 

Review Enrollment tools & features 

  • Explore Form Builder tools (fields, layout, logic) 
  • Review Workspace features: rules, tags, permissions, approval criteria, and views 
  • Identify any add‑ons in use (School Locator, localization, payments, etc.) 

Plan internal roles & ownership 

  • Identify district owners for forms, data review, approvals, and communications 
  • Confirm who will validate SIS data, notifications, and payments 

Register for support resources 

  • Enroll in PowerSchool Enrollment: Ask the Experts webinars 
  • Bookmark Enrollment Help & Community resources  

Phase 2: Form Revisions & Configuration 

Update enrollment forms 

  • Add, edit, or remove form fields 
  • Adjust layout for clarity and ease of use 
  • Refresh additional content sections (instructions, descriptions, FAQs) 

Review logic and rules 

  • Verify ShowIf and RequireIf conditions 
  • Update filters, rules, and tags for routing and processing 

Validate data consistency 

  • Review and update dropdown lists 
  • Confirm grade, school, and status values align to SIS 

Update print templates 

  • Ensure printed outputs reflect updated form content 
  • Confirm formatting and required signatures are correct 

School Locator (if applicable) 

  • Update boundary files and school assignments 
  • Test locator accuracy 

Phase 3: SIS Data Import Preparation 

Finalize all form revisions 

  • Complete all form changes before data import begins 

Communicate mapping changes 

  • Notify your PowerSchool Specialist of any new or updated field mappings 

Verify SIS readiness 

  • Confirm key SIS fields are accurate: 
  • sched_nextyeargrade 
  • sched_nextschool 
  • Validate student statuses, contact sequences, and school assignments 

Review imported data 

  • Check completeness and accuracy after import 
  • Confirm correct grade and school rollovers 

Phase 4: Testing & Quality Assurance 

Test end‑to‑end enrollment flow 

  • Complete test submissions as a guardian/user 
  • Validate logical flow from start to submission 

Verify system functionality 

  • Notifications: emails go to correct staff 
  • Pre‑filled data displays correctly (if enabled) 
  • Submission saves correctly to Workspace 

User experience check 

  • Mobile‑friendly layout 
  • Clear instructions and field labels 
  • Minimal confusion or unnecessary steps 

Payments (if applicable) 

  • Confirm fees calculate correctly 
  • Test payment processing and confirmation 

Workspace review 

  • Submissions stored correctly 
  • Staff can locate, filter, and process forms 

Phase 5: Go‑Live 

Open enrollment forms 

  • Change status from Closed to Open in the Enrollment Dashboard 

Confirm public access 

  • Test live form link 
  • Verify accessibility from district website or communication channels

  • Confirm permissions and access levels 

Communicate with families 

  • Announce enrollment opening 
  • Provide clear instructions and support contacts
