RESTORING GRADES

I have a question about restoring grades.   We stored grades for our Seniors only for Q4 & S2.  However after storing grades I ran a report and saw that alot of teachers had not entered grades so I had to reach out to them to have them enter the grades how do I now go in and restore grades do I just follow the same format that I used when I first stored them and that will just override everything i previously stored and show the newly entered grades?

If you re-store as you did originally it will overwrite everything you stored. If there are just a few sections you need to re-store you can use the Additional Filter Options area to store individual sections. You can also use that area to store for a selection of students (make the selection before you go to the Store Grades page), or specific grade level. Please be aware that the Section.Course box is case-sensitive.

Thank You Jeff.   So we did the restore but now I noticed when I go into historical grades that there are courses in there that previously were not.  They don't have any grades and looks like they were courses that the student may have dropped.  These will now error on our State Report because they have no grades or credits.  Is there are a reason those would suddenly show up after the restore when they were not there when we first originally stored?   And now do we need to go in and manually remove those courses so they won't cause errors?

I am willing to bet good money that when grades were re-stored the "Third Checkbox" (screenshot 1) was not checked or was with a date too far in the past. Checking that box and using a date 2 or 3 days before the end of the grading term ensures that blank grades for classes students have dropped are not stored. The dashes you see (screenshot 2) are blank stored grades. 

 

You can delete these en masse via DDA if you the appropriate access. Screenshot three shows how I would search if:

 

  • I stored grades (and all those blanks) today
  • I used store code Q4
  • The Grade field is blank
  • I wanted to restrict my search to the specific building I am in

After I had those grades captured, I would export them to make sure they were the correct ones and then delete them all.

Thank You Jeff.   So I checked with the person that restored the Grades and the third checkbox was checked and reflected the date of 06/23/25 which is when Term 4 ends.  This is how it was done originally and those courses didn't show up so I'm not sure how it happened but I will refer to your 3rd screenshot to see if we can delete those added courses.   My other question is if there are any teachers that still did not enter the Q4 grade for an active course if I do as you suggested and delete any courses blank will it delete those as well?

The StoredGrade table contains Historical Grades only and deleting blank grades will have no effect on grades in PT Pro that have not been stored yet, if that is what you are asking.

Yes I think I get it.   So if a teacher has not entered in a Q4 grade yet for the Seniors they have, since they are the ones I'm storing but the previous quarters are already stored and I do that DDA to delete blank grades it will not remove that course correct?

I am not certain what you mean by "remove that course," but deleting Stored Grades will have no effect at all on grades in PT Pro, even for previous terms. The grades in PT Pro live in an entirely different table in PowerSchool.

I just meant take it out of Historical Grades but I think I understand what you are saying now.   Thank you so much for all of your help!
