One of our schools added a day at the end of the year for certain grades due to an issue in their physical spaces. So the extra day is not needed for the full "building" in PowerSchool. What's the best strategy for that?
One thought I had was to add the day to the relevant Years and Terms (for us that would be Y1, S2, M6) but NOT change the membership for all students in the school. But where could I change the membership for only students in those grades?
Or is there a different approach? I worry about doing something kind of hack-y by adding the day and marking all students with excused absences — that feels like it could mess up our state reporting.
Thank you!
Would the following be the correct steps?
A) Select all students that needed the Snow Day and change Track field to "A." Do the same for those that do NOT and put in B instead.
B) In "Years and Terms" for this building, change the last day for Y1, Semester, and last marking period. (I am worried about this step — I've never changed years and terms mid-stream!)
C) In Configure Calendar, for the extra day, make sure A is checked and B is not.
Are any of the following steps ALSO necessary?
1. In DDA, change the DateLeft for all couses to the correct last day?
2. Change the exit dates of the students in their enrollment history?
3. Reset class counts somehow?
A) Yep.
B) Without seeing your Years & Terms I am not sure; in New York, the school year must run 7/1/20XX - 6/30/20XX so there would be no need to adjust Years & Terms. You mention Y1, which is a Reporting Term for districts I work with (final course grade).
C) Yes. The day itself must be In-Session, have a Membership Value, Cycle Day, and Bell Schedule.
Question 1 at the bottom may be dependent on your State/Province reporting. In NY, the DateLeft is always the day after the last day of class.
Question 2 is definitely something to look into from the perspective of Data Reporting; I cannot answer that.
Question 3: This function is harmless and can be run whenever you'd like. I have attached screenshots for the path/setting.
See attached image for our Years and Terms.
That's actually the Final Grade/Reporting Term Setup page (how do you do any grading with no Reporting Terms?!!?).
There is nothing in PowerSchool that will prevent you from adding 6/19/2026 to the 25-26, Sem2 and Q4 Scheduling Terms. I would just make sure you check with your State/Province reporting folks.
LOL, no that was the Term Setup page.
By the way, thank you. I am good on the lettered steps I listed — which was the part we never did before — and checking in with a colleague who did the numbered steps (for a whole building).
Yeah, senior moment on the Y&T page. Aging. 0 out of 10. Do not recommend.
You're welcome!
