The Rollover process updates school year settings and determines how new documents and data are associated with the upcoming year. You must be logged in as a System Administrator to perform rollover tasks. 

 

What should districts do before running EOY rollover? Before running rollover, you should confirm rollover timing and ensure all critical data is finalized. This includes completing required state or federal reporting and verifying that Special Programs documents are set to the correct status. Our recommended best practice is to have documents in a “Final” status before the rollover process begins. 

Note: Documents left in Draft or Review may have fields such as grade, school, or age updated automatically when the database rolls forward, which can impact reporting accuracy.  

 

How does SIS integration affect rollover decisions? For districts integrated with a Student Information System (SIS), grade levels are updated in the SIS, which is the authoritative source. We recommend not manually advancing grade levels in Special Programs for these districts. 

Districts without SIS integration can manually advance grade levels after the automatic rollover has occurred. Understanding your integration setup helps prevent data conflicts during rollover. 

Special Note: For eSchoolPlus SIS users, disable integration before executing any End of Year process, and then set a reminder to re-enable integration afterward so you don’t forget! 

 

What configuration settings should be reviewed after rollover? After rollover, districts should review and update several configuration settings to prepare for the new school year. These include marking periods, messaging settings, calendar settings, Globals, and allowable years for new documents.
