Reviewing and editing a broadcast in the Message Sender

  1. The Review and Send Tab

    • This is the final step in the Message Sender process.  Here you can look over your settings and make any necessary changes before sending.
  2. Editable Information

    • Any of these fields can still be edited before sending. If an error has been made or you've changed your mind, you can go back and change the Subject, the Broadcast Type, and/or the Recipient Count.
    • NOTE: Do not use the back button on the browser to go backward in the Message Sender process. Doing so may cause you to lose all of your work to this point. Use the numbered tabs on the green bar. See the screenshot below for more information on how to get back to make edits. 
  3. Message Content

    • This shows the current message types ready to send. You can go back and edit messages or add/remove message types.
    • NOTE: Do not use the back button on the browser to go backward in the Message Sender process. Doing so may cause you to lose all of your work to this point. Use the numbered tabs on the green bar. See the screenshot below for more information on how to get back to make edits.

 

NOTEDo NOT go backward using the Back button on your browser!

 

 

Checking the Message Options

  1. Email me report of this job upon its completion.

    •  With this option selected, the system will email a broadcast report to you when the broadcast is completed.
    • Note if the message includes telephone calls, the report can be delayed while the system retries calls to numbers it cannot reach. If the broadcast is still showing as "In Progress" on the dashboard, the system is still making contact attempts.

  2. Skip duplicate email/phone/SMS recipients

    • With this option selected, the system contacts any phone number, email, and/or text number only ONE time in any broadcast, no matter how many times that contact appears. It is tracked by number or address, not person. This prevents multiple contacts should a parent have more than one child at the school or district.
    • Note this can be deactivated for instances where you do wish to contact a parent each time that number or address appears, such as for attendance broadcasts, or cases where a student name is inserted into the message.

  3. Save Message Content

    • Checking this option will save the content of the message for future re-use. This can be useful for messages such as monthly meeting reminders that you'll send on multiple occasions.
    • Once saved, the content can be edited before sending again, if necessary, by clicking the Broadcast Tab, then Messages underneath that tab.

 

Sending a broadcast as a later date or time.

  1. Schedule to Send Later

    • Click this button to schedule a broadcast to go out at a later date or time.
  2. Allowable Time Range

    • The top green bar shows your allowable time range.  Green all the way across means you can schedule to send messages 24 hours a day. Any restriction in time range is set by your local administrators, as part of the Profile to which you are assigned. If you need to have your time range modified, contact a local System Administrator.
  3. The Start Date

    • Clicking in the date field brings up a calendar. You can pick any date going forward from today on into the future.
  4. The Start Time

    • Unlike the Start Date field, do not click in the Start Time field to change the time. Instead, you'll use the slider bars to set a start and end time for the date of your broadcast.
    • Note it is fine to leave the End Time to 9 PM, regardless the start time. The system will only send until it either reaches every recipient or runs out of available attempts, whichever comes first. However, you must leave at least one (1) hour between start and end times to allow for multiple retries on telephone messages.
  5. The Submit Button

    • Once you have selected your Start Date and Start Time, click Submit Scheduled Message in the lower right. You'll be taken out to the Review and Send screen, where you'll click Send Now. The system will take you back to your Dashboard, where you should see this broadcast as "On Deck - Sending Soon" with the start date and time listed.
    • You can Cancel if you change your mind about scheduling for later.
