Special Programs Documents (Ontario)

I am in Ontario and working in Special Programs. We are working through IPRCs. I have two issues.

First, if an IPRC was scheduled but not held, do we delete the invitation or is there another way to indicate that the meeting will need to be rescheduled? What do other Ontario users do?

Second, once a letter of invitation is sent home, we need to go back in and complete the For Staff Use Only section to indicate the parent/guardian response. We used to be able to do this while the document was in draft. Now we can't access that section at all. We get a message that says this is not editable.  We have been advised by the chat help person that we must finalize the document before we can enter this information. When we try to finalize, the software gives a warning that the For Staff Use Only section must be filled in BEFORE it can be finalized. Any solutions?

Hi @Em-K

The IPR_C was scheduled but not held. You would need to contact your district's administrator to check for the district's policy.

The Office Use only areas are often filled in when the document is about to be finalized and the school is about to send a copy to the parents. Some documents do not allow you to edit the date once it has been entered. Some sections are not editable in the draft. The document sometimes needs to be either in review or finalized. After finalized, put into edit mode to enter information on fields that before were not showing as editable. This is the case with Progress Reports. The document must be finalized for the user to enter notes on the progress reports.

For any further assistance, you would need to reach your District Designated Support Contact.

How do I find out who my District Designated Support Contact is?

Hi @Em-K,

We suggest reaching out to your School Adminstrator's. They should be able to provide you with information on the Designated Support Contacts at your school/district.

Please let us know if you have any more questions.  We will be more than happy to assist you!

Would you be able to outline for me the document pathway or process that would be followed in creating Confirmation of Continued Identification and Placement, Letter of Invitation and Statement of Decision including when each part of the documents needs to be completed and Finalized?  This is what our schools need to do their jobs and what we cannot find anywhere.

Thank you.

Hi @Em-K,

To get further guidance on this, I recommend reaching out to your school district administrators to discuss and decide which document to fill in as it would depend on your school district's model.
