Q&A: Renewal Process

 

How can I confirm that my renewal has been confirmed and the product will be renewed for the upcoming school year?

To confirm your renewal:
Ensure you've signed the Renewal quote sent via DocuSign. If not received, contact your Renewals manager.
If state law mandates renewal upon PO generation, send the PO to your collection representative or Customer Success team. Please reach out to your Customer Success Manager via the CSM form.
Verify with the PowerSchool team that the renewal has been processed and expect an invoice soon.

 

How does the renewal process function at PowerSchool? 

  • Your renewals representative will issue a renewal quote four months prior to your renewal start date. This allows sufficient time for review with your management and board members.  
  • Should you choose not to renew, please submit a formal cancellation notice at least 60 days before the renewal start date. Purchase order (PO) is not necessary; a signed quote confirms the renewal contract. 
  • Upon receipt of your signed quote, your renewals representative forwards it to the billing team for documentation and invoice generation. 
  • Once your invoice is generated, the collections team will contact you for payment.  
  • Although you may receive the invoice before the renewal start date, payment is due on that date.

Who should sign/approve a renewal quote? 

The billing contact or the authorized person from the school must sign the renewal quote. For example - Principal, Director of technology, etc.

 

What is Uplift, why it is on an annual on-going cost? 

Uplift is an annual increase in the price, and it is an annual going price due to the ongoing renewal of compliance initiatives and regulations.

What is the purpose of the audit quote I received from my renewals/CSM representative? 

An audit quote is provided when PowerSchool’s internal team performs an annual license audit. If our audit shows that your district/school's enrollment count exceeds what was billed, you may need to purchase additional licenses to remain compliant with PowerSchool's Master Service Agreement. The audit quote outlines the cost for these additional licenses.
