Log Entries report

Good afternoon everyone! Our school uses log entries to document discipline referrals. Is there a way to get a printout of log entries for all students for a given school year without having to search through each individual student's profile? I appreciate any help! Have a great day!

There are a number of custom reports available that may accomplish what you are looking for.  Try searching the PowerSchool Exchange for 'Log Entry Report' here: https://support.powerschool.com/exchange

 

There are free custom reports available at https://www.powerdatasolutions.org/ 

 

The PDS Custom Reports Bundle includes Log Entry reports.

 

However, if you'd prefer just exporting the data yourself you can always pull it using DDE

 

Start Page > System Administrator > Direct Database Export (DDE)

 

It would be best to limit the returns to a specific date range so in the search box so you aren't pulling every single log you have in your system:

Once you've isolated the Log Entries you want, click the Export Records link and on the following page decide how you want the information exported.  Here is a list of fields we usually pull when we're looking at Log entries:

 

[students]student_Number
[students]lastfirst
[students]grade_level
[students]Gender
[students]ethnicity
[students]lunchstatus
[students]special_education
[students]504
Subtype
Consequence
Entry_Date

@Doug Hi, do you know if there is a way to generate a report of students who does not have log entries?

Hi @acampbell1

 

Currently, we do not have a report of students who do not have log entries in PowerSchool SIS. 

 

You can Vote the Enhancement Request SIS-I-13659 on  PowerSchool Ideas Portal so that the product team can take a look at this. 

 

You can search for ideas using keywords or the idea number SIS-I-13659 in the Search Ideas field at the top right corner of the Ideas Portal.

  1. Click on the Vote box next to the Idea.
  2. The vote box should change to green and the counter should increase by one.

As we begin the new year, all the "log entries" of each student from last year are still there.  How do I leave them them, but hide them for the 2023-2024 school year.  Do I have to delete them?  If yes, can I put them on a spreadsheet so as not to lose them.  Thanks!

The option to hide the log entries from the previous year is not built into the system. But you can delete them following the instructions in this article.

Thanks...but I want to save last years' stuff in a spreadsheet and then delete hundreds of them.   This is deleting one at a time.

You can isolate the log entries that you'd like to export in DDE/DDA and export them to a spreadsheet. If you have access to DDA you could then in theory delete the log entries by using the Modify Records button...However, you must be absolutely sure of what you are doing. It's never a best practice to delete large amounts of data from the database and I would not recommend it unless you know exactly what you are doing.
