Q&A: Renewal Quote Adjustments

What are the benefits of signing a multi-year contract? 

By signing a multi-year contract, customers can lock in their uplift at the current rate without being subject to annual uplifts. This provides savings on renewal costs and ensures price stability until the contract's end date. 

 

How do we change our contract term dates to align with our school year? 

The start dates on renewal quotes are fixed and cannot be changed for the current renewal. However, you can prorate your end date to align with the school year's end date, which may extend beyond 12 months depending on your current renewal alignment. To proceed, contact your renewals representative to align your renewal dates. Ensure to initiate this before your current year's renewal start date.

 

How do we get additional licenses added to the product when renewing your contract? 

We understand that you would like to add additional licenses. For any additional license purchase request, we should first get the current quote signed from customer. And once it is updated on our system, we will be sharing the quote for additional license for signature and process the same. 
 
For instance, If the current count is 331, you would want total 366 which will be (366-331= 35 additional licenses) 
The system will allow us to share the additional license quote only once the current quote is signed and updated on system. 
To get the above process done, you can reach out to your Renewals Manager for additional licenses.                                                                                                               

Note: Please share the screenshot of the total number of licenses / enrollments from your system. 

 

How can we request changes on quote (Bill-to/Ship-to address)? 

We can have the below changes done on quote if required:                                                       

  • Quote quantity changes - This is number of licenses. We need the screenshot of the licenses to process the number of licenses required. 
  • Bill to ship to changes - We need the updated / new Bill to and ship to address and we can add the same on quote. 
  • Start and end date - Please note, as per our process, start date cannot be changed. Only end date can be changed. Please share the date/month for which you would want changes, and we can adjust the end dates accordingly.                                                                                                                            

For any of the above changes Please reach put to your Renewals Manager and they will assist you accordingly. 

Please note: Before getting these changes, make sure that you have not signed the quote or paid the invoice. 

 

How can the customer get split payment done on the upcoming renewals?  

  • Split payment refers to the ability to divide a payment into multiple parts, allowing for partial payments rather than paying the full amount at once.  
  • If the customer is looking to split their invoice payment - pay the half at the due date and the other half after 6 months, the customer must connect with the Renewal Managers to change the payment frequency. 

How can I get my Audit quote adjusted?  

Audit Quotes are records that track and document any changes made to student data or enrollment within the PowerSchool system during the current school year. Your Renewal Manager will send you these quotes if there is an increase in your school's enrollment data during the term. If you believe these changes are incorrect, please reach out to your dedicated Renewal Manager with the current enrollment data for review and assistance. 

 

How can we include my child school in the renewal quote? 

If your child school or any buildings using the product are not listed on the renewal quote, you can request your renewals representative to include a secondary description with the school names. This step is optional and only necessary if you require the quote to reflect all school names for billing purposes.
