I need to enroll students for the next school year prior to end of year process. Is this possible?
Yes just make sure you create the 24-25 school year and be in that year when you enroll.
Hi again Jeff! I am doing this now to prep for our preK/new K registrants. Is there anything else that needs to be done except set up the next school year start and end date at the district level? Do I need to set up anything at the school level yet or set up any reporting terms? The students will complete our pre-reg form in March and then just sit in our enrollment school until rollover early July. I just want to make sure there isn't anything else I have to do besides set up the next year (and include that year as an option on our pre-reg form).
You would set up the 26-27 year in the building you are enrolling the students into (although it certainly doesn't hurt to do it at DO too). Reporting Terms do not need to be created until it is time for teachers to get to work in PT Pro, but we always set them up in July/August.
Change PowerSchool term to 2026-2027 year and enroll student with entry date after 7/1/2026 (the school year in PS in New York must run 7/1/20XX-6/30/20XX).
Of course, I don't know where you live so make sure you follow all of your State/Province Reporting guidelines.
Thanks Jeff! I am in NJ so I imagine this is similar (our end of year state report is June 30th - in my previous system I always did rollovers after July 1). Two more quick questions: we have quite a few schools - is there any way to set up the next year in bulk or "rolling down" from district office so I don't have to click into every school and populate the fields? 2) I noticed that for the last few years, the previous admin always had the end date for the year as 6/30, even if the last day of school was 6/18, 6/21, etc. Is this something you also do, that is a Powerschool best practice?
You can use Batch School Setup to push out Years & Terms to all buildings. It is a bit wonky in that you need to create the new year (26-27) at a Building, then DO, then run Batch Setup in the 26-27 year to push out the Y&T.
As for the other question, the full year in PS must run 7/1/20XX-6/30/20XX for NYS Reporting.
The enroll_status should be -1 to have them as Pre-Registered.
Depending on how you set up things in your system, likely the current grade and next year's grade should be the same (next year's grade). Diddo with the school they will attend.
