Greetings,
I don't see many job postings on SmartFind (me being a substitute teacher),
and I recently found out SmartFind is not actually showing me all the jobs that are available.
It seems to only want to show me certain jobs once in a while, meanwhile hiding the existence of other jobs that haven't been picked up yet.
I found out because the substitute coordinator at a middle school I worked for has told me several times about openings she needs covered, that are in SmartFind, but my SmartFind tells me that "there are no jobs available."
Today, a substitute friend of mine took a picture of her SmartFind which showed 3 available jobs to choose from,
but when I logged in, SmartFind said "there are no jobs available."
Any ideas?
I'm guessing SmartFind and/or my District has a "preferred" substitute system where they show jobs to certain subs first.
I emailed my District's substitute coordinator and she thought nothing was wrong,
even though I explained the situation where I know in fact that SmartFind wasn't showing certain jobs.
(I've already checked that my availability is set to all days and times).
Hi @pan,
Thank you for posting on our PowerSchool Community!
I am sorry to hear you are having issues viewing all openings in SmartFind Express.
You mentioned that you checked your availability is set to all days and times.
This online guide covers more settings that I recommend you review for your account. They include locations and classifications.
Additionally, if you already have a job selected for a specific date, it is possible that the district is not showing you open jobs for that same date.
Let us know if this helps!
Hi CindyOp,
I am reaching out for assistance with a persistent issue in PowerSchool Atrieve. Since September 2025, I have been unable to see assignments on the workboard at 4:00 pm when it is published, while other TOCs in my district with the same availability and teachables can see multiple assignments. My workboard appears blank during this time.
I also notice that many TOCs can see assignments at 4:00 pm, but when they attempt to accept them, they sometimes receive the error message “in use by another user.” Could this error be caused by the ADT phone system simultaneously calling out the same assignments as they are posted on the workboard?
I do occasionally see assignments — usually after 10:00 pm — or when a previously accepted assignment is cancelled between 4:30 pm and 11:00 pm. Additionally, I have received very few ADT phone calls since September 2025.
I am aware that districts may tighten budgets and manage assignments carefully. Is it possible for districts to configure the workboard to prioritize certain TOCs, such as newly hired TOCs, those lower on the pay grid, or those with fewer recent assignments?
I have previously requested that my district run an internal report on my account and submit a support ticket to PowerSchool, but I have not received a response.
Any insight or advice you could provide on how Atrieve handles workboard visibility, assignment priority, or ADT interactions would be very helpful.
Thank you very much for your time and assistance.
In my District and "SmartFind" app, sometimes I'll see jobs as "Available," but when I attempt to accept them, it says something like, "the assignment is currently being reviewed by another Sub. If they don't accept, it will be made available."
Then after repeatedly trying to accept the job, I'll either be told "error, the job is no longer available," or, "success. Job has been accepted."
I am having same issue
Turns out there are Priority lists and parameters that can be set up to prioritize certain subs over other subs before even showing the jobs (if at all) to other subs.
How do you know that? Do the districts need to disclose this to TOCs? How is this an equitable practice that the unions don't file grievances over?
I searched something like "Priority Lists on PowerSchool" online and there was an article and video of someone showing school employees how to configure the Priority Lists.
As far as equitable practices: I think it's technically within School's rights to choose whom they prefer, perhaps like restaurants can refuse service to customers and how consumers can choose where they shop and dine at.
Also, in my District, Subs don't have Unions, as far as I know.
What district are you in? Was your issue resolved?
Substitute payroll
I have the same experience in my district, where our workboard is Atrieve. Since September 2025, my TOC colleagues have sent me screenshots of assignments they see on their workboard, while I see none on my mine. On multiple occasions, my board is blank and there's is full of assignments. My district is unresponsive to my emails (of which I've sent 4, documenting the issue). I need my district to run an internal report on my account, and also submit a support ticket to Powerschool, but so far they're simply unresponsive.
Did you resolve your issue?
