Analytics Terms: Best Practices

 Analytic terms, set up by an engineer in PowerSchool or a liaison in a district, determine the data “buckets” into which data will fall in “Longitudinal Reporting.”  Navigate to “Settings” > Term tab.  Select “Add.”  To edit, double click on the date in the Start Date or End Date Column.  Terms should consist of four Quarters for the entire year and use the naming convention, Quarter 1 2018, Quarter 2 2018, etc.

 

When and why is this feature used?

Analytics terms are the dates that create the buckets for data to fall and appear in Longitudinal Reporting.

 

Associated protocol

  • Terms can be added/edited by a PS Technical Support Rep at the request of a liaison.
  • Terms can be added/edited by any user who has permission to access the Term tab in “Settings.”
  • It is recommended that the first quarter in Analytics terms starts when school starts in a district and the fourth quarter in Analytics terms ends on the last day of the school year.
  • Analytics terms should be divided into four Quarters, using the correct naming convention.
    • Quarter # + Recording Year
    • The recording year is the second year in the academic year. For example in the academic year 2017-2018, 2018 is the recording year.
  • Analytics terms should book end and not overlap.

Associated communication / canned responses

  • If users see a “Log In” box when accessing Longitudinal Data: Check to see if the Analytics terms are active.  If they are, check the Assessment terms as well.

Access to LDS as a teacher is dependant on the teacher having active courses and active students (and therefore, active terms).

  • Changes in Analytics can take up to 24 hours to be visible in “Longitudinal Reporting.”
